5 Reasons Your Company May Need an Access Control System

Does your company need more than a simple lock-and-key system to control who has access to what areas? You may not think so, but if your business engages in any sensitive research, development, or production, the answer is probably affirmative. There are several other scenarios when even a small business can benefit from modern access control systems. 

Should you take advantage of this technology? Here are five situations when your company should consider upgraded access control.

1. Turnover Is High
In business terms, turnover is the leaving of one employee and the hiring of another. As your company grows, you will likely experience more and more turnover as well as changes in responsibilities. Each time this happens, unfortunately, the employer must spend time and money on things like changing passwords or digital authorizations and retrieving and issuing new keys.

One easy way to minimize this effort and cost is to use a modern access control system that can simply be re-coded as often as you need or want. Eliminate even more work by granting access based on job title or role rather than by individual employee names.

It may also be difficult to properly charge payroll costs when employees move from one project to another.  

Use an access control system to allow employees to enter project areas only for a specific period of working days. Keep day and night shift workers differentiated. Or have employees check in with specific badges or codes in order to assign costs to the right project or client.

Access to areas may not be what you need to oversee. As the number of employees grows, payroll or project oversight might be a bigger issue. Access control systems also can be used to monitor employees checking in and checking out for work. You know when they are on the plant site or on remote work locations.

If employees check in and out of a system when leaving for lunch, you know that everyone is using their appropriate breaks. The system can also provide assurance that security personnel are making the designated rounds at night or on the weekend.

What sort of projects does your company work on? Are they sensitive? Such projects could contain proprietary information or work with high-value materials, or they could be a legal or reputation risk if information leaked. In this case, security should be a high priority.

Unlike traditional lock-and-key systems, coded locks let you know who enters an area, when, and for how long. You can monitor issues in real time. And if you do have a breach, you have a paper trail to follow. 

5. You Need to Manage Costs
Access control isn't just about security. It can also help you manage your building site and its costs. An access control system, for instance, helps prevent employees from working unauthorized overtime by limiting building or department access outside of normal hours. It can tell when the area is unoccupied so you can reduce use of lights, utilities, and security personnel.

You could unlock and lock doors automatically without deploying staff in person as well. If you have remote locations, you can oversee their use in the most efficient manner. 

6. You Want to Prevent Problems
Whether you’re concerned about theft, trespassing, or negligence, an access controls system can provide the protection you need. Even if you have never experienced these kinds of problems, it pays to be safe, and prevention can save you a lot of time and money. With an access control system, you get to decide who enters your property and for how long. You can keep people from trespassing and install alerts that will tell you if someone has breached the system.

While outside variables are a concern, sometimes employees make mistakes. Access control systems can help protect employees while they’re working and your property overall. If someone forgets to lock up or if a door isn’t closed all the way, the system can detect the problem and rectify it. It can also protect against employee theft, should that be a problem, and even keep employees from being locked out by accident.
